Inkwell Data / Ready for QuickBooks Online

Get your customers ready for QuickBooks

Turn a customer list from a CRM, an old accounting system or a spreadsheet into a file QuickBooks Online imports without complaint: a unique name for every customer, one email each, character limits respected, and big lists split into files of 1,000 rows.

How it works

Add your file and we match its columns to QuickBooks' customer fields: Name, Company, Email, Phone, Mobile, Fax, Website, Street, City, State, ZIP Code, Country, Opening Balance and Opening Balance Date. First and last name columns are combined into the single name QuickBooks expects.

QuickBooks requires every customer name to be unique and doesn't allow colons or quotation marks, so we remove those characters and number repeated names. Imports are limited to 1,000 rows, so longer lists download as several files.

In QuickBooks Online, go to Sales → Customers, open the New customer menu and choose Import customers.

Questions

Why are some names numbered?

QuickBooks won't import two customers with the same name, so the second "Jane Smith" becomes "Jane Smith (2)". Rename them in QuickBooks later if you like.

What about opening balances?

Map your balance column to Opening Balance and, optionally, a date column to Opening Balance Date. Amounts like "$1,200.00" become 1200 and dates become MM/DD/YYYY.

Is this an official QuickBooks tool?

No. It is an independent free tool that follows Intuit's published field limits for contact imports. QuickBooks shows a final review before anything is added.

Are my files uploaded anywhere?

No. Your file is read by your own browser and reshaped on your device. Nothing is sent to us or to Intuit.
